Before you start using the Redact System, you should carefully read this privacy policy, which governs the processing of your personal data in the Redact System and thus constitutes the fulfillment of the informational obligation under Articles 13 and 14 of Regulation (EU) 2016/679 of the European Parliament and the Council of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC.
1. Personal Data Administrator
The Redact System is owned and maintained by FORDATA Sp. z o.o., headquartered in Poznań, 61-819, ul. Taczaka 24/302, registered in the Business Register by the District Court in Poznań, VIII Commercial Division of the National Court Register – KRS number 0000324804, NIP 634-270-95-49, REGON 241110970, which is the Administrator of the personal data of users of the Redact System, meaning the entity responsible for processing this data.
FORDATA is also the processor (“Processor”) of the data contained in the documents processed in the Redact System, which you upload or access based on the Agreement between FORDATA and the Client (“Agreement”).
This privacy policy governs only the processing of personal data of Redact System users. The processing of personal data contained in documents uploaded to the Redact System is regulated by the Agreement between FORDATA and the Client.

2. Privacy Protection Principles
We process your personal data in compliance with legal regulations, particularly Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (hereinafter referred to as “GDPR”).
3. What Personal Data Do We Process?
The data we process in connection with the use of the Redact System includes, but is not limited to:
- Your name, surname, company name, email address, and phone number to create an account and provide access to the Redact System, i.e., for the purpose of fulfilling the Agreement with the Client (Article 6(1)(f) GDPR) and for using the Redact System (including the provision of technical support services), based on the agreement with the user of the Redact System (which is the Terms of Service of the Redact System), i.e., under Article 6(1)(b) GDPR. In the case of using the Redact System for testing purposes (Redact Trial service), we process the company email address and phone number for the purpose of fulfilling the agreement (Article 6(1)(b) GDPR);
- Email address and phone number for contact purposes, to monitor the quality of services provided by the Administrator, for reporting and managing customer service operations, fixing errors and malfunctions of the Redact System, and gathering information necessary for the development of the Redact System, i.e., based on Article 6(1)(f) GDPR;
- IP address to enable access to the Redact System, i.e., to fulfill the Agreement with the Client (Article 6(1)(f) GDPR), as well as to ensure the security of the Redact System for diagnostic purposes and to evaluate the operation of the Redact System. The legal basis for processing is the legitimate interest of the Administrator (Article 6(1)(f) GDPR), which in this case is improving the quality of services offered by the Administrator within the Redact System;
- Cookies and other similar mechanisms as described in points 7 and 8 of this Policy, based on Article 6(1)(f) GDPR.
4. For How Long Do We Process Personal Data?
We will process personal data of users only for the period necessary to fulfill the purpose for which it was collected, i.e., for the duration of the Agreement with the Client or, in case you stop using the Redact System and notify the Administrator, until you object to further processing. In case of an agreement for testing the Redact System, data will be processed for the duration of the testing agreement.
Personal data will also be processed for the period prescribed by law to pursue or secure potential claims.
If we process your data based on your separate consent, we will process it for the period indicated in the consent statement, but never longer than until the consent is withdrawn.
5. Your Rights
You have the right to access your data, obtain a copy of it, rectify your data if it is incomplete or incorrect, delete your data (if you stop using the Redact System), restrict its processing, transfer your data to another administrator, and, if processing is based on your consent, withdraw your consent at any time.
Additionally, you have the right to object to the further processing of your data.
You can request any of the rights mentioned above by contacting us at: support@fordatagroup.com. Simply describe the right you wish to invoke. In order to fulfill your rights, particularly for identification purposes, we may ask you to provide additional information.
You can also file a complaint with the supervisory authority (President of the Personal Data Protection Office, ul. Stawki 2, 00-193 Warsaw) if you believe that the processing of your personal data violates GDPR regulations.
6. Recipients of Your Data
We will only share your data with our trusted partners, i.e., entities supporting us in providing our services, such as technology providers, customer service providers, and providers analyzing the security of the Redact System.
If any of our providers are located in a country outside the EEA, we ensure that they provide appropriate data security guarantees, confirmed by holding certifications such as Privacy Shield (for entities in the USA), which can be verified at the following link: https://privacyshield.gov/list, or by signing Standard Contractual Clauses approved by the Commission.
We also transfer personal data to third-country entities based on Article 45(1) GDPR, without needing additional permissions or consents.
7. Collection of Other Anonymous Data
Only technical information is automatically recorded, such as browser type, operating system, the number and dates of your visits, and your activity history in the Redact System. Technical data is analyzed solely to improve the attractiveness and functionality of the Redact System.
8. Cookie Policy
Cookies are data files, particularly text files, stored on your computer’s disk and intended for use with the Redact System. Cookies usually contain the internet address of the given Redact System instance, the duration of storage on your computer, and a unique number.
The entity placing cookies on your computer’s disk and accessing them is FORDATA.
Cookies are used to:
- Customize the content of the Redact System to users’ preferences and optimize its use; specifically, cookies allow recognition of the user’s device and appropriate display of content tailored to their individual needs,
- Create statistics that help us understand how users use the Redact System, allowing us to improve its structure and content,
- Maintain the user’s session (after logging in), so the user does not have to re-enter their login and password on every page of the Redact System.
The Redact System uses two main types of cookies: “session” (temporary cookies stored on your computer’s disk until you log out, leave the Redact System, or close your browser) and “persistent” cookies (stored on your computer’s disk for the time specified in the cookie parameters or until you delete them).
The Redact System uses the following types of cookies:
- “Necessary” cookies, enabling the use of features available within the Redact System, such as authentication cookies used for logging in,
- “Performance” cookies, enabling the collection of information about how users use the Redact System,
- “Functional” cookies, allowing “remembering” settings selected by the user and personalizing the user interface, e.g., regarding the chosen language or font size.
In many cases, your browser will automatically allow cookies to be stored on your computer’s disk. You can change your cookie settings at any time, particularly to block automatic cookie handling in your browser settings or to notify you each time cookies are placed on your disk. Detailed information about managing cookies is available in your browser settings.
Please note that restricting the use of cookies may affect some functionalities available in the Redact System.
The cookies stored by FORDATA on your device do not serve to identify you, and your identity is not established based on them.
